Privacy Policy
Last updated: July 5, 2026
iCareShift ("iCareShift," "we," "us," or "our") operates a marketplace that connects independent per-diem healthcare professionals ("Clinicians") with healthcare facilities ("Facilities") that have shifts to fill. This Privacy Policy explains what information we collect through our mobile app and website (together, the "Services"), how we use and share it, and the choices you have.
By using the Services, you agree to this Policy. If you do not agree, please do not use the Services.
1. Who this Policy covers
This Policy applies to Clinicians, Facility users, and visitors to our Services. Some sections apply only to one type of user and are marked accordingly. iCareShift is intended for users who are 18 years of age or older. We do not knowingly collect information from children.
2. Information we collect
Information you provide
- Account & identity data: name, email address, phone number, password, and profile details you enter when you register or complete onboarding.
- Professional credentials (Clinicians): professional license type and number, certifications, specialties, work history, work-authorization and eligibility documents, and other qualification records and files you upload.
- Verification data (Clinicians): information required to run identity and background screening, including date of birth and government identifiers. This is collected and processed by our screening provider (see "Background checks" below).
- Payment & payout data: bank account or payout details (Clinicians) and payment-card or billing details (Facilities), collected and stored by our payment processor. We do not store full card or bank numbers on our own servers.
- Documents & signatures: agreements you review and electronically sign (for example, independent-contractor agreements), and files you attach to your profile or a shift.
- Communications: messages, support requests, and feedback you send us.
Information collected automatically
- Location data (Electronic Visit Verification): when you clock in or clock out of a shift, the app records your device's GPS location at that moment to verify that visits occur at the correct facility, as required for compliance. We collect location only at these clock events. We do not track your location continuously or in the background.
- Device & usage data: device model, operating system, app version, language, unique device or installation identifiers, and diagnostic or crash logs used to keep the app working and secure.
- Approximate location from IP: a general region derived from your IP address, used for security and fraud prevention.
3. How we use your information
- Create and manage your account and verify your identity and eligibility.
- Match Clinicians with open shifts and enable Facilities to review and select Clinicians.
- Verify professional credentials and run background screening where permitted.
- Record clock-in/clock-out and visit verification (EVV) for timekeeping and compliance.
- Process payments to Clinicians and billing to Facilities.
- Send transactional messages (shift confirmations, reminders, account and security notices).
- Provide support, prevent fraud and abuse, enforce our terms, and keep the Services safe.
- Comply with legal, tax, and regulatory obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
4. How we share your information
| We share with | Why |
|---|---|
| Facilities | When you request or are matched to a shift, we share the profile, credential, and visit-verification information a Facility needs to select you and confirm the shift was worked. |
| Clinicians | Facilities receiving a shift request see the relevant Clinician details needed to make a hiring decision. |
| Background-check provider | To run identity and background screening you consent to. This provider collects sensitive identifiers directly and processes them under its own privacy terms. |
| Payment processor | To process payouts and billing securely. Payment details are handled by the processor. |
| Infrastructure & service providers | Hosting, authentication, database, notifications, and analytics providers that operate the Services on our behalf under confidentiality obligations. |
| Legal & safety | When required by law, legal process, or to protect the rights, safety, and property of users or the public. |
| Business transfers | In connection with a merger, acquisition, or sale of assets, subject to this Policy. |
5. Background checks
Background and identity screening for Clinicians is performed by a third-party consumer reporting agency. Where you provide sensitive identifiers (such as date of birth and government ID numbers) for screening, that information is submitted to and handled by the screening provider under its own privacy policy and applicable consumer-reporting laws. iCareShift receives screening results, not the underlying raw identifiers, except as needed to display your verification status.
6. Location data in detail
Our Electronic Visit Verification uses your precise location only at the moment you clock in or clock out of a shift. This confirms the visit happened at the expected place and time. The app does not run location tracking in the background and does not build a continuous history of your movements. You can disable location permission in your device settings; however, EVV clock events may not function without it, which can affect your ability to verify and be paid for shifts.
7. Data retention
We keep personal information for as long as your account is active and as needed to provide the Services. We retain certain records longer where required for legal, tax, payroll, compliance, dispute-resolution, or audit purposes (for example, timekeeping and payment records). When information is no longer needed, we delete or de-identify it.
8. Security
We use technical and organizational safeguards, including encryption in transit, access controls, and reputable infrastructure providers, to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your choices and rights
- Access & update: you can view and edit much of your profile in the app.
- Deletion: you may request deletion of your account and associated personal information by contacting us at the address below. We will honor requests subject to records we must retain by law.
- Permissions: you can control location, notifications, and other device permissions in your device settings.
- Communications: you can opt out of non-essential messages; we may still send you transactional or security notices.
Depending on where you live, you may have additional rights under applicable privacy laws (such as the right to access, correct, delete, or restrict use of your information). To exercise any right, contact us using the details below.
10. Third-party links and services
The Services may link to or rely on third-party services (such as our payment processor and screening provider). Their handling of your information is governed by their own privacy policies, and we encourage you to review them.
11. Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, provide additional notice in the app. Your continued use of the Services after an update means you accept the revised Policy.
